When benefits renewals happen — and what to ask

Most employers don't realize how early the renewal window closes. Here's the timeline and the questions that matter.

Plan-year start dates

When your renewal clock starts

Most employer plans renew on Jan 1, Apr 1, Jul 1, or Oct 1. Your carrier sends renewal paperwork 90–120 days before that anniversary — which means the decision window opens much earlier than most HR teams expect.

The broker window

60–120 days out: the competitive window

This is when an outside broker can still run a full RFP and return real carrier quotes in time to act. After 30 days from renewal the incumbent carrier effectively controls the timeline — a competing broker can quote but you'll rarely have time to switch.

Questions to ask at renewal

Three questions every employer should ask

  1. 1What was the carrier's rate history over the last three plan years?
  2. 2How does our current PEPM compare to the mid-market band for our industry and size?
  3. 3What commission or fee is my broker earning on this plan?
